Administration
Version 8.
7.9 • Date: 03/12/99

New Features:

  • The term "Principal" has been replaced with "Manufacturer" throughout the application.
  • Added message box to display when Customer Merge has completed processing.
  • User Administration Security Access has been added for manufacturer, customer, item, and authorized item maintenance functions. With security checked ‘on’, user can make modifications in File Maintenance to the option checked. Note: The ‘Transactions’ security flags are for future use.

Bug Fixes:

  • Resolved issue of lost/misplaced PSR files when merging Customer or Principals with existing conflicts.
  • Resolved Brokerage Rebuild not updating estimated brokerage for paid orders/invoices.
  • Resolved issue of Price_Header table not found in the Principal Merge utility.
  • Resolved issue with the Paid Brokerage column not being updated in Invoice Inquiry after doing a Mass Brokerage Rebuild. Order status is now retrieved from the ‘new_hist’ table instead of the ‘odrhdr’ table.
  • Corrected "Integrity Constraint Violation" error when trying to add or delete users.

B_EDI

New Features:

  • Added Import capability for EDI 864-Text Message and 994-Administrative Message transaction sets. These transactions imported will appear on the Message tab in the Incoming EDI Queue.
  • Added import capability for the 810-(X12)Invoice transaction set.
  • Added import capability for the 852-Product Activity Data transaction set. This transaction set will show on the 852’s tab in the Incoming EDI Queue.
  • Improved import processing for validating numeric fields on all transaction sets.
  • Added import capability for the 888-Item Maintenance transaction set.
  • Importing EDI 875/850-Purchase Orders and 855-Purchase Order Acknowledgments will properly assign broker number and default profit center to the order as maintained on the Manufacturer/Customer record.
  • Importing EDI 875/850-Purchase Orders and 855-Purchase Order Acknowledgments will apply Profit Center based on the following hierarchy:

  • Added new EDI.INI flag to control applying Automatic EDI Reference Numbers when the 855-Purchase Order Acknowledgment flatfile contains the EDI Reference Number "SO" for the manufacturer sales order number.
  • Under the [oeentopt] heading the following line is to be added if the automatic EDI Reference numbers are not to be applied during import of the 855-Purchase Order Acknowledgment:

            Auto_apply_refno=N

If the line is not added to the EDI.INI file, the default will by ‘Y’ and any automatic EDI Reference Numbers found on the Manufacturer or Manufacturer Profit Center records will be applied.
When the flag is set to ‘N’, the import process will verify the existence of the ‘SO’ number in the flatfile. When the ‘SO’ number is received, the other automatic EDI Reference numbers will be applied. If the ‘SO’ is not found, and the flag set to ‘N’ , any automatic EDI Reference Numbers found for the Manufacturer or Manufacturer Profit Center will be applied as normal.

          The EDI.INI file on the Gentran workstation should be modified to use this feature.

Bug Fixes:

  • Corrected the lookup to the Authorized Item List when ‘VN’-Vendor Item ID is received. Only ‘PI’-Purchaser’s Item number will look to the Authorized Item List.
  • Corrected process error "Division by Zero" when receiving 880-Invoice with zero quantity items.
  • Resolved printing of received EDI Terms. Import will apply the default terms as setup in Sequel File Maintenance, as well as note the received EDI Terms values. Both applied terms and received terms values will print.
  • Corrected update of ‘last_modified’ column in database EDI Tables.

Banking

New Features:

  • The term "Principal" has been replaced with "Manufacturer" throughout the application.

Bug Fixes:

  • Resolved the need to use <alt> <tab> to enter new data in the Check Detail entry window.
  • Resolved accessibility problem within the deposit journal help window.
  • Resolved the defect reported in the Check Reconciliation report, it would not allow the user to select with the mouse "unreconciled checks only", it only responded to keyboard commands.

Brokerage
Version: 8.7.14 • Date: 3/12/99

New Features:

  • Added verification window to display when a check has been closed.
  • New window added with ability to "write off" the brokerage dollars in Brokerage Reconciliation. Fields include Adjustment Reason, Comment, Adjustment Amount, and Total Amount.
  • Added new Options button with the following tabs:
  • General tab- includes options for either setting up brokerage adjustment automatically, prompting prior to making adjustments on check closing, or no automatic adjustment.
  • Check Details Entry tab- provides a choice of whether or not to utilize invoice adjustments. To use original format, select Standard Entry Window. To use invoice adjustments, select Entry Window With Adjustments. Changes are reflected in the Brkg.ini file as "change_invoice_amount=Y" to use adjstments, or N to ignore adjustments.
  • Check Adjustments tab- used to associate reason codes with automatic adjustments for positive or negative amounts.
  • Adjustment Reason Codes tab- used to create or delete adjustment reason codes.
  • Pop-up window displays when duplicate invoices are referenced.
  • The following enhancements to the Principal Aging Report
  • Correct principal totals always being zero
  • Running Date/Time displays in the corner of the report
  • Territory field added to the report
  • Principal name displays once when both booked and shipped lines printed
  • Added right-mouse option to print out the search criteria screen

  • Changed the column heading from "Check Dollars" to "Sales Paid"
  • Added Principal Name field to report
  • Added sorting options to the Brokerage Checks, Paid Funds Summary, and Paid Funds Detail reports. Double-clicking on the report format will bring up a sorting options window for sorting, grouping, and sub-totaling. This also allows the user to save data from the previously run report to be used when selecting different sorting methods and previewing prior to running the report.
  • The term "Principal" has been replaced with "Manufacturer" throughout the application.
  • Customer Type, Territory, and Salesrep selectors have been added to Paid Marketing Funds Details, Paid Marketing Funds Summary, and Brokerage Market Analysis reports.
  • Invoice Activity Date selector has been added to Paid Market Funds report.
  • Added a new option in Brokerage Reconciliation Maintenance to allow the user the option to "mark check as paid without closing the check." The default is NO because this is how the application currently functions.
  • Added new "Aging Date" selector to the Manufacturer Aging report criteria.
  • Modified ‘Aging Report by Principal’ report format to include the ‘Aging Date’ selector.
  • Added new report ‘Aging Report Summary by MFG’ to Manufacturer Aging report formats.

Bug Fixes:

  • Resolved issue in Brokerage Reconciliation Report of reversed data in the Matched and Difference columns.
  • Resolved issue of duplication when multiple orders are matched to one invoice and returning "check_rec is not unique" error.
  • Enabled the "view" button when returning to the screen after adding a new check.
  • Resolved issue of an order number displaying as "Multiple" when only one order has actually been applied to that invoice in the Invoice Mass Status Change to Paid.
  • Changed focus to the [Cancel] button instead of the Check Number field in Brokerage Reconciliation.

  • File Maintenance has been modified to allow four lines of Customer Shipping Comments. If more than one Shipping Comment is entered, the Shipping Comments field during Order entry will read "MULTIPLE SHIPPING COMMENTS". On memo printing, if multiple comments are found, it will print "Multiple Comments, See Below" in the Shipping Comments section. Each of the Shipping Comments checked to ‘Send’ in File Maintenance will print on the order below the line items in the same manner as Notes are printed currently.
  • During the EDI Import process verification will be made on the Deviation’s Case Cap before applying the promotion. If the quantity ordered goes over the Case Cap set for specific customer(s) and item(s) the promotion will not apply. If edits or changes are made to an item set up on the Case Cap Tab and the quantity change is over the cap, a pop up window will appear warning "Promotion Exceeds Case Cap". When manually adding a promotion set up with Case Caps using the Shift-F5 function to an item and the quantity ordered is over the cap, a pop up window will appear warning "Promotion Selected Exceeds Case Cap".
  • Added ‘Options’ button to the Order Distribution window. The options now available are listed below. Changes will be made to the user’s application INI file based on the options selected.
  • Application Timeout in Minutes: If the application is idle for the amount of minutes entered, the user will be prompted to continue or log off.
  • Check Mfg/Cust EDI Override Flag: Setting this option to ‘Yes’ will check the EDI Override flag maintained on the File Maintenance Manufacturer/Customer (bill to customer) record. If the flag there is also set to ‘yes’, the order will NOT be distributed to the EDI Outgoing Queue.
  • Fax to: Clicking the appropriate radio button will fax to ‘Manufacturer Only’, ‘Both Manufacturer and Customer’, ‘Manufacturer/Customer Combination Only’ or ‘Manufacturer or Customer or Mfg/Cust Combination’. Currently faxing to ‘Manufacturer or Customer or Mfg/Cust Combination’ will retrieve all the fax locations records found for the manufacturer, customer, and manufacturer/customer combinations with the ‘Include’ Action Flag maintained in File Maintenanceā Fax Locations.

NOTE: Making changes to one of the first three fax options will have immediate affect on the fax location records appearing on the Distribution window. It is recommended to Cancel from the Distribution window after selecting option 4 ‘Manufacturer, Customer, or Mfg/Cust Combination’ then re-distributing the order to have the proper fax locations retrieved.

Report Features:

  • 889-Promotion Announcements now will reflect Market Area data as sent by the trading partner. If the Market Area references specific customers, the Sequel customer number will be printed.
  • Added printing of Reference Number information on the 880-Invoice transaction set.
  • Added printing of SeQueL Order Number on the Purchase Order and/or Purchase Order Acknowledgment detailed reports.
  • Added printing of Routing information on the Purchase Order and/or Purchase Order Acknowledgment detailed reports.
  • Added printing of Line Item Level Reference numbers on the Purchase Order and/or Purchase Order Acknowledgment detailed reports.

Bug Fixes:

  • 880-Invoice/810-(X12)Invoice transaction set reports will print full length of the Invoice Number and the Customer Purchase Order Numbers as transmitted by trading partner.
  • The EDI Export Errors Window when Distributing from the Incoming EDI Queue has been expanded to view the entire error message.
  • Corrected In/Print reports to reflect Extended Promotion Allowance amounts on the following transaction sets: 875-Purchase Order, 850-(X12)Purchase Order, 855-Purchase Order Acknowledgment, 880-Invoice, 810-(X12)Invoice.

  • Resolved errors when attempting to Create an EDI Order for a row that has already been created. This is perhaps caused when two users attempt to create the same order at the same time.
  • The EDI Transmission Report will now correctly count and print all transactions. Missing transactions included the 810-Invoice, 824-Application Advice, 864-Text Message, 879-Price Change, 888-Item Maintenance, 889-Promotion Announcement, and the 994-Administrative Message.
  • Resolved Override Price problems with the EDI Order Wizard when incoming process found item to be invalid.
  • Invoice Integration will now price line items based on the item’s Default Price UOM. If Default Price UOM is not entered, Invoice Integration will use ‘CA’.
  • Resolved ‘Integrity Constraint Violation’ error received when importing EDI Raw Data containing an 824-Application Advice.
  • Function changed to resolve fax distribution hangs.
  • Order Type Help changed to not allow duplicate Order Type Ids to be entered.
  • Corrected the "Re-Verify Unsuccessful" error caused by using the Switch Principal option in the EDI Order Wizard.
  • Corrected printing the EDI Reference Numbers during order distribution. The EDI Reference numbers printed will be those associated with the order not those maintained in File Maintenance.
  • Corrected problem with the Delete Window on the EDI Outgoing Queue. After deleting records from the outgoing queue, the queue will be refreshed to reflect the deleted record(s).

  • Exporting EDI 875-Purchase Orders will use the proper broker number as maintained in the File Maintenance. The hierarchy is as follows:

                    1> Manufacturer/Customer record broker number

2> Manufacturer Profit Center Maintenance Broker Number

                    3> Manufacturer Broker Number

  • Multiple Customer Shipping Comments have been added in File Maintenance. EDI export procedures have been modified to send the shipping comment(s) on the EDI Reference Code based on the Send check box.
  • ‘Promotion Status’ has been added to the Events, Settings Tab for use with the EDI 889 Promotion Announcement. The valid EDI qualifiers are retrieved from the EDI Code table. Examples are ‘01’ for New, ‘05’ Confirmation.
  • Note: The status codes are retrieved from the event tables when the 889-Promotion Announcement is exported by the Gentran session NOT when distributed to the EDI Queue. Therefore, the exported data will reflect any, and all, changes between the time distributed and the time exported.

Bug Fixes:

  • Corrected 879-Price Change Bracket ids. Exporting bracket levels increment by 1 (one) starting at 1 (one).
  • Corrected 879-Price Change missing bracket level problem.
  • Resolved issues with Billback dollar amounts being deducted from the order’s net total.
  • Corrected exporting the ‘BY’-Buying Party’s Duns number with the 879-Price Change transaction.
  • Corrected problems with 889-Promotion Announcement exporting duplicate line items for one item when more than one Product Id and Qualifier existed for that item.

  • Added the Label ID field to the duplicate item pop-up window which displays when duplicate items are selected in the Items tab. This field also displays in the Item Help.
  • The term "Principal" has been replaced with "Manufacturer" throughout the application.
  • Case Cap Tab has been added. This feature is Customer Specific to each Deviation within the Event. To be used with Order Entry and will not apply the Promotion if amount ordered goes over the Case Cap for the specific customer(s).
  • Quota Tab has been added. This feature is Customer Specific to each Deviation within the Event for reporting.
  • Deviation Quota Report, reports on Cases Sold and Quota’s set up in Events on the Quota Tab for specific customer(s).

File Maintenance

New Features:

  • Added new option in Miscellaneous, Fax Locations to include the memprinting options: printing billbacks, printing hash totals, printing ASAP for ship date, printing net or ship weight, ability to sort items by item number or as entered. Added ability to change fax print style. Same screen referenced in the Order Entry Distribution screen.
  • Added new option in Miscellaneous, Order Type to add or delete order type.
  • Added Label ID field to display in the duplicate item pop-up window when a duplicate item is referenced. The Item Help screen also displays this field.
  • From the FIND button in Item Maintenance, a new button was added to search by the Label ID on the Item Search screen.
  • Added distribution capabilities for the EDI 888-Item Maintenance transaction set. Available for BETA testing.
  • The term "Principal" has been replaced with "Manufacturer" throughout the application.
  • Added Date Qualifier and Date fields to the Items EDI option. Dates are then output to the EDI 888-Item Maintenance transaction set.

  • New ‘Shpg Cmnts’ tab has been added to the Customer Maintenance. Up to four lines of Shipping Comments may be entered and checked for printing and transmitting orders. EDI Reference Codes may be used for the appropriate EDI qualifier.
  • The Customer’s Profit Center may now be maintained on this new tab. Customer’s Profit Center is used during order entry. Applying the Profit Center during order entry follows the below hierarchy:

  • Added capability to override the EDI distribution. An "EDI Override - Yes/No" flag has been added to the Manufacturer/Customer tab. Setting the flag to ‘Yes’ also requires the use of the Order Distribution Options
  • Added ‘Action’ to Fax Locations maintenance. The Action to ‘Include’ Manufacturer/Customer Combination record will distribute the order to this fax location. To ‘Exclude’ the record will not fax to this location during distribution.

Bug Fixes:

  • Resolved issue of system not allowing a 9-digit zip code to be entered in Principal and Customer Maintenance.
  • Resolved error "Principal/Item does not exist" when performing a search in Item Maintenance when changing principals.
  • Allows Customer Type to be removed on the Principal/Customer Tab.
  • Resolved issue of Authorized Item Listing not seeing selections for an item.
  • Corrected System error "Invalid datawindow row/column" when removing Company Id from Profit Center Maintenance.

  • Profit Center maintenance has been modified to eliminate "column not found" errors when updating Company Id, Branch Id, or Department Id changes to database.
  • In Item Search, the Label Description has been moved to appear following the Item Pack.
  • Corrected system error caused by clicking Delete button when rows did not exist in Order Type Help.
  • Corrected Authorized Item Listing ‘Brand’ Selector eliminating system error ‘External object does not support data type n_brand_selection’.
  • Order Type Help changed to not allow duplicate entry of Order Type Ids. Each Order Type id must be unique.
  • User can now remove a Profit Center from the Customer/Manufacturer tab.
  • Item help search on description changed back to a ‘contains’ instead of ‘begins with’ search.

Forms

  • New options added on Properties Tab for rounding price fields for 2, 3, or 4 decimal positions.

Bug Fixes:

  • Corrected problem with Form Control checking for Customer’s Authorized Item List as well as the additional Authorized Item List numbers selected.
  • Resolved issue with printing forms with two authorized list numbers in Form Control where it had only been looking at first list for items authorized.

NOTE: This custom fax format requires each item EDI Id tab to include the ‘VN’ qualifier and the appropriate vendor number. If the ‘VN’ Vendor Item Number is not maintained, the item number will not fax correctly. Format name: ‘d_ordprint_1_b_vin’ added to memoprint.pbl.
  • Profit Center may now be applied by Customer’s profit center default maintained in File Maintenance on the ‘Shpg Comments’ tab. The hierarchy is as follows:
  • Ship to Customer/Manufacturer
    Bill to Customer/Manufacturer
    Ship to Customer
    Bill to Customer
    Default Profit Center from the INI file.

  • Per request, the INI file can be modified NOT to apply the Profit Center based on the last order entered. The above Profit Center hierarchy is then used to apply the Profit Center. If none of the above apply, the user will need to manually enter the Profit Center.
  • NOTE: if the line is not entered into the INI file, the application will default the flag to ‘Y’ and use the Profit Center default in the user’s INI file.

  • File Maintenance has been modified to allow four lines of Customer Shipping Comments. If more than one Shipping Comment is entered, the Shipping Comments field during Order entry will read "MULTIPLE SHIPPING COMMENTS". On memo printing, if multiple comments are found, it will print "Multiple Comments, See Below" in the Shipping Comments section. Each of the Shipping Comments checked to ‘Send’ in File Maintenance will print on the order below the line items in the same manner as Notes are printed currently.
  • Order Entry will verify the Deviation’s Case Cap before applying the promotion. If the quantity ordered goes over the Case Cap set for specific customer(s) and item(s) the promotion will not apply. If edits or changes are made to an item, set up on the Case Cap Tab and the quantity change is over the cap a pop up window will appear warning "Promotion Exceeds Case Cap". When manually adding a promotion set up with Case Caps, using the Shift F5 function, to an item and the quantity ordered is over the cap a pop up window will appear warning "Promotion Selected Exceeds Case Cap.
  • Added ‘Options’ button to the Order Distribution window. The options now available are listed below. Changes will be made to the application INI file based on the options selected.
  • Application Timeout in Minutes: If the application is idle for the amount of time in minutes, the user will be prompted to continue or log off.
  • Check Mfg/Cust EDI Override Flag: Setting this option to ‘Yes’ will check the EDI Override flag maintained on the File Maintenance Manufacturer/Customer (bill to customer) record. If the flag there is also set to ‘yes’, the order will NOT be distributed to the EDI Outgoing Queue.
  • Fax to: Clicking the appropriate radio button will fax to ‘Manufacturer Only’, ‘Both Manufacturer and Customer’, ‘Manufacturer/Customer Combination Only’ or ‘Manufacturer or Customer or Mfg/Cust Combination’. Currently faxing to ‘Manufacturer or Customer or Mfg/Cust Combination’ will retrieve all the fax locations records found for the manufacturer, customer, and manufacturer/customer combinations with the ‘Include’ Action Flag maintained in File Maintenanceā Fax Locations.

    NOTE: Making changes to one of the first three fax options will have immediate affect on the fax location records appearing on the Distribution window. It is recommended to Cancel from the Distribution window after selecting option 4 ‘Manufacturer, Customer, or Mfg/Cust Combination’ then re-distributing the order to have the proper fax locations retrieved.

Bug Fixes:

  • Resolved issue of history not updating when only profit center is changed on an order.
  • Removed the inoperative EDI Queue button from the distribution screen.
  • Resolved issue of Free Goods not displaying on an order.
  • Resolved issue of default printer causing "Dr.Watson" errors in distribution window.

Price Book

Special Notes:

  • This application contains a new user interface providing more flexibility.
  • Terminology has been clarified and applied in this version of pricing. A principal has a "one to one" relationship with a price book. A price book has a "one to many" relationship with price lists. For example: Principal 100 has a price book. Within that price book are defined price lists for either all customer, principal-customer, or customer specific records.

New Features:

  • Enhancements to Price Maintenance provide ability to view by pricelist or by principal.
  • Added new Price Book menu option to select "favorite" principals and view details of the associated price book.
  • Item level price records for grouped items are now labeled with the group information to indicate this is a potential problem.
  • Added new Principal Price List report based on Principal. Effective date is a new required selector.
  • Added new Customer Price List report to provide a listing of available pricing for the effective date. Effective date is a new required selector.
